An unverified profile gives you no real control: you cannot reply publicly to reviews, add services or posts, and Google treats part of your data as a suggestion rather than a fact. Verification is the moment the profile stops being a suggestion and becomes your tool.
This guide covers which verification methods are actually available, how to record a video that passes on the first attempt, how long the wait runs, and what to do when a refusal arrives.

What verification gives you, and what it does not
After verification you get control back: public replies to reviews, editable hours, a service list, posts, photos and access to statistics. Without it the profile can exist in search results, but Google manages it from web data and user suggestions.
Verification is not a promise of high rankings. It confirms that a business exists at the address or in the area and that it belongs to you. Visibility depends on how complete the profile is, on categories, reviews and consistent data elsewhere on the web.
Three things to check before you press verify
Most refusals come from a mismatch between the form and what a person can see from outside. Before you start:
- Business name. It has to match the name a customer sees on the door, on an invoice and in the company register. Marketing additions like 'best hairdresser in town' are the most common reason for rejection.
- Address. Complete, matching the sign, the register entry and what appears on your website.
- Primary category. Google picks the verification path from it. A mobile service, a home-based practice and a shop with a window are three different routes.
A mismatch in any of these usually ends in a request for extra evidence, which adds weeks.
Verification methods and who gets them
| Method | When it appears | How long |
|---|---|---|
| Video | Default for most new profiles and service businesses | Five minutes of recording, decision usually within five working days |
| Screen recording or video call | Businesses with no physical premises, some mobile services | Appointment to book, decision the same day |
| Postcard with a code | Less often, for a fixed address with a sign | 14 days to arrive, the code valid for 30 days |
| Phone or text message | Profiles meeting extra conditions, mostly older ones | A few minutes |
| Email on the company domain | Rarely, when the domain matches the website | A few minutes |
You do not choose the method. Google proposes it based on category, profile age and account history. Getting video when you expected a postcard is not a system error.
How to record a video that passes first time
The recording has to prove three things in one continuous shot, with no cuts and no pausing: the location is real, the business operates there, and you have owner-level access to it.
The order that works:
- Surroundings. Start on the street. Show the building number, the street name and the sign if there is one. For a mobile service, show the branded vehicle and the area.
- Entrance. Walk from outside to inside without stopping the recording. This is the most commonly skipped element and the most common reason for a retake.
- Evidence of activity. Equipment, products, a workstation, stocked shelves, a salon chair, tools in the boot. It has to be visible that the work in your category happens here.
- Evidence of access. Unlock a back door, log into the till or the booking system, show a company document with the name and address.
Record horizontally, in daylight, without music. Three to five minutes is enough. Do not show customers' faces or their data.
For a business run from home you do not have to show the whole flat. The building entrance, the number, then the work area and a document confirming the address are enough.
How long it takes and what you see meanwhile
After the recording is submitted the profile usually sits in a pending state for three to five working days. During peak periods, or in sensitive categories such as financial, medical and legal services, it can run to two weeks.
Do not edit the name, address or category during that time. Any change to key data resets the process and puts you back at the end of the queue. Adding photos and filling in the description is safe.
Five most common reasons for refusal
A name with marketing text. 'Kowalski Auto Service - cheapest in town' gets rejected. The name field holds the business name and nothing else.
An address nobody can see. A virtual office, an unmarked coworking desk and a correspondence address with no physical presence do not pass. A business that travels to customers should set a service area instead of an address.
A recording with cuts. An edited video or separate clips count as missing evidence. One shot, no pause.
A category that contradicts the footage. The category 'restaurant' with footage from an office ends in refusal. Fix the category first, then verify.
A duplicate profile. When the same business has two listings, verifying one of them usually stalls. Report the duplicate for merging first.
What to do after a refusal
A refusal does not close the door. The sequence that usually works:
- Read the reason in the message. Google names the category of the problem, even if broadly. That tells you which layer to fix.
- Fix the data, not the recording. In most cases the problem is the name, address or category rather than video quality.
- Wait up to three days. Resubmitting the same day usually lands in the same automated verdict.
- Record again with fuller evidence. Add whatever was missing: the walk from outside to inside, a document with the address, vehicle branding.
- After two refusals, write to Google support. Ask for a manual review, describe the business in two sentences and attach photos of the sign and the registration document.
Keep the submitted recording and the date of the request. A specific submission date cuts several rounds off any exchange with support.
Verification when taking over an existing profile
If the listing already exists and has another owner, or is managed by a former agency, the route is different. You submit a request for ownership, and the current administrator has three to seven days to answer. No answer usually opens the door to verifying it yourself.
Do not create a second listing in the meantime. A duplicate splits reviews, photos and profile history, and merging them later takes longer than recovering access to the original.
After verification - the first 30 minutes
Once the profile is confirmed, do four things straight away, before you go back to daily work:
- Fill in opening hours, including holiday exceptions.
- Add the service list with short descriptions, so the profile covers long-tail queries.
- Upload at least ten photos: entrance, interior, team, results of the work.
- Reply to every outstanding review, negative ones first.
That is when verification turns into visibility. The badge alone sells nothing.
FAQ
How long does Google Business Profile verification take?
Usually three to five working days for video verification. In sensitive categories and during busy periods it can take up to two weeks.
Can a profile be verified without a physical address?
Yes. A business that travels to customers sets a service area instead of an address and passes video verification by showing a branded vehicle, tools and a company document.
What if the postcard with the code never arrives?
Wait 14 days from dispatch, then order a new code from the dashboard. Check that the address includes the unit number and that the letterbox carries the business name.
Does verification improve local rankings?
Not directly. It unlocks the parts of the profile that do affect rankings: services, posts, photos and public replies to reviews.

Check the profile before you submit
Most refusals come from the data, not the recording. The free ProfileForBusiness check shows where the name, address or category drift away from what Google sees from outside, before you press the verification button.
